Identify or Create the Salesforce Account to Be Used by Riva

The Riva Cloud connection to Salesforce must use the credentials of a Salesforce user that has been assigned the System Administrator role:

  • identify an existing Salesforce admin user, or

  • create a new Salesforce user and add it to the Salesforce System Administrator profile. We recommend a name like Riva-Sync as the account name. This is the name that will appear as the account that creates or modifies records. The System Administrator profile must have the following permissions:

    • Administrative Permissions:

      • API Enabled must be checked,

      • Manage Users must be checked,

      • Modify All Data must be checked, and

      • Any other permissions that Riva would depend on based on the modules that Riva is syncing are checked.

    • General User Permissions: Ensure that the modules that Riva will sync to (accounts, contacts, users, cases, opportunities, events, tasks, etc.) are checked.

    • Standard Object Permissions: Ensure that Read, Create, Edit, Delete, View All, and Modify All is assigned to modules that Riva will sync.

Prepare Custom Audit Fields

By default, Riva Cloud will register the Salesforce admin user it is using to connect to Salesforce as the user that creates or modifies the Salesforce objects. To have Riva Cloud register the user on whose behalf the Riva sync service is creating or modifying the Salesforce object, you need to add two custom audit fields to your Salesforce organization. For instructions, see Use custom audit fields.

Prepare Target User Accounts

The Riva Cloud connection account to Salesforce can be configured to use either the Salesforce login user name or the primary email address of the CRM user account. To carry out synchronization for individual users, Riva Cloud matches users from your email system to Salesforce users based on the primary SMTP Reply-to email address (the email address that is assigned to users for Internet email delivery). Prepare the target Salesforce user accounts so that

  • the Salesforce user login name matches the primary SMTP Reply-to email address for each email account, or

  • the Salesforce user's primary email address matches the primary SMTP Reply-to email address for each email account.
