Record-Relating Picklists in Riva Insight

Available in Riva Insight 2021.2 or higher, for Track in CRM, and Creates and Updates.

To relate one item (record) to another item (record), two picklist options are available. Each one is customizable.

  • The Module Picklist (Standard).
  • The Module Picklist (Simplified).
     

The picklists are described and compared in the following table.

What this is Requires Riva Insight 2021.2 or higher.
For Track in CRM, and Creates and Updates.
One or two Quick Find lists of relatable records from one or more modules, with the ability to search for what isn't found on the Quick Find lists. This is a configured drop-down list based on the data of only one module.
What it does Recent Quick Find: Displays a list of selectable items used recently. Displays in a drop-down
  • all of the items of a CRM module
    – or –
  • a subset of the items of a CRM module
    – or –
  • the items that are based on a selection in another field. This works by using field rules.
     
Examples:
  • List determined by a configured subset. The Picklist displays all the open opportunities that have an estimated close date within 6 months.
  • List of items determined by a field rule. When the end user selects an account in a certain field, the Module Picklist (Simplified) displays all the open opportunities associated with the account.
Predefined Quick Find:
  • Requires Riva Insight 2021.2 or higher.
  • Configurable for Track in CRM, and Creates and Updates,.
  • Displays a customized list of selectable items.
     

Examples:

  • Commonly used items.
  • Subset of items.
Search capability. This is standard functionality. If an item is not found on a Quick Find list, the end user can use the full search capability to find it. The Module Picklist (Standard) then displays the search results for selection.

Example: Search for an opportunity by a portion of its name.
By design, there is no search capability in the Module Picklist (Simplified), in order to restrict the selection to a specific set of records.
Notes
  • When a Predefined Quick Find item is used, it is moved to the Recent Quick Find list.
  • If a recent item that was originally on the Predefined Quick Find list has not been used recently, it is moved back to the predefined list.
  • The Module Picklist (Simplified) can be configured to support a single selection or multiple selections.
Predefined Quick Find vs. Module Picklist (Simplified) The contents of the Predefined Quick Find are built by a configuration that applies no matter which field is selected. More versatile. The contents of the Module Picklist (Simplified) can be built by
  • a configuration that applies no matter which field is selected
    – or –
  • a field rule that is activated by a selection in another field.
Best for The Module Picklist (Standard) is best for longer lists of items. It is more efficient to search through a long list of items than it would be to display all of them in the Module Picklist (Simplified). The Module Picklist (Simplified) is best for shorter lists of items: modules that have little data or data that can be usefully filtered.
