Riva Insight: Insight Panel and Track in CRM

  • Increased size of various Riva Insight windows:
    (Enhancement for the Insight panel and Track in CRM in the Outlook Windows add-in.)
    Requirement: Outlook Windows add-in, version 1.28 or higher.
    The new size for the Track in CRM, Settings, and Login with Salesforce windows is as follows:
    Approximately 75% of the screen size or, if the Outlook window size is available, 75% of it, with these restrictions:
    • Maximum size: 1050 pixels in width.
    • Minimum size: 800 pixels in width.

  • New configuration option for the search results:
    (For Salesforce users of the Insight panel and Track in CRM in these add-ins: Outlook Web and Outlook Windows.)
    By default, the results of the Insight panel manual search or Track in CRM related item search for a contact do not necessarily match the search results in Salesforce.
    Now, if you want the search results for a contact to match the search results in Salesforce, contact the Riva Success Team.

Track in CRM Only

  • Ability to track an item to multiple contacts:
    (New feature available for Track in CRM in these add-ins: Outlook Web and Outlook Windows.)
    Track in CRM can be configured to track an item to multiple contacts.
    To enable, contact the Riva Success Team.

  • Ability to set CRM fields when tracking an item:
    (New feature available for Salesforce and Track in CRM in these add-ins: Outlook Web and Outlook Windows.)
    Applies to appointments, contacts, tasks, and emails.
    Track in CRM can be customized to set values in additional CRM fields as part of the track, without having to go into the CRM. The CRM fields can be standard or custom fields.
    To request the customization, contact the Riva Success Team.

  • Streamlined search:
    (UX enhancement implemented in Track in CRM in all three add-ins: Outlook Web, Outlook Windows, and IBM Notes.)
    Previously, if the search text did not appear in the history, the text had to be entered a second time (in a second search field).
    Now, if the text is not found in the history, click the Search icon, and the text is used to do a search in the CRM.

  • New! Track status indicators:
    (UX enhancement implemented in Track in CRM in all three add-ins: Outlook Web, Outlook Windows, and IBM Notes.)
    Applies to emails, non-recurring appointments, and tasks.
    Requirement for Riva Insight On-Premise: Riva Sync On-Premise 2.4.51.53615 or higher.
    In the top right corner of the Track in CRM window, one or more of the following green status indicators may appear:
    • Tracked: Indicates that an email, non-recurring appointment, or task has already been tracked to the contact or opportunity that is selected in the Track in CRM window. Tracked means that the end user has selected Track, but the item may not have been synced to the CRM yet.
    • Synced: Indicates that the tracked item has been synced to the CRM.
    • Locked: Indicates that Track in CRM is prevented from tracking the same item to the same contact or opportunity.
    Notes:
    • The Tracked and Synced indicators supersede an informational message that was used in Riva Insight 2019.1 and provide more nuanced information than the old message did.
    • The Locked indicator supersedes a warning that Riva Insight 2019.1 could be configured to use.

  • The "Okay" button has been relabeled "Track":
    (UX enhancement implemented in Track in CRM in all three add-ins: Outlook Web, Outlook Windows, and IBM Notes.)
    We have relabeled the Okay button. It is now the Track button.
    An end user now selects Track to issue the command to track an item to the CRM.

  • Fixed defect:
    In the IBM Notes add-in, selecting Close in the Settings window opened the Track in CRM window. — Now, it does not. It just closes the Settings window, as expected.
