GoldMine: Sync Newly Created "Private" Emails from Exchange to GoldMine

In Riva 2.4.38.21181 or higher, it is possible to sync personal, private, or confidential emails from Exchange to GoldMine and mark them as Private in GoldMine.

By default, such emails are not synced; but there are two ways to configure Riva and the email client to do so.

Sync by Modifying the Sensitivity of Email Messages

 This is how it works:

  • In Riva, you make one configuration change that applies permanently unless you turn it off.
  • In the email system, you mark every outgoing email that you want to sync as a personal, private, or confidential email.

To rely on the email sensitivity setting to sync sensitive emails from Exchange to GoldMine:

  1. Ensure that Riva 2.4.38.21181 or preferably higher is installed. If not, we recommend upgrading to the latest public release.

  2. In Riva, apply the following advanced option to the Exchange sync policy:

    Sync.Ex.PrivateEmail.Enabled = True (Enables the sync of emails marked as personal, private, or confidential.)

    Note: You need to make this change only once. If you need to stop syncing such emails, set the option to False.
  3. In your email client, before sending any new email that you want to sync as a personal, private, or confidential email, do as follows:

    • For Office 356 Small Business, Office for Business, Outlook 2016, or Outlook 2013, mark your email as Personal, Private, or Confidential.

    • For Outlook 2010, do as follows:

      1. Expand the Message Options Windows.

      2. Change the sensitivity of the email to either Personal, Private, or Confidential.


         

    After the email is synced to GoldMine, it appears in the matching contact's History tab and is marked as Private.

Sync by Using an Email Category

 This is how it works:

  • In Riva, you make one configuration change that applies permanently unless you turn it off.
  • In the email system, you create an email category and apply it to every outgoing email that you want to sync as a personal, private, or confidential email.

To rely on an email category to sync personal, private, or confidential emails from Exchange to GoldMine:

  1. Ensure that Riva 2.4.38.21181 or preferably higher is installed. If not, we recommend upgrading to the latest public release.

  2. In Riva, apply the following advanced option to the Exchange sync policy:

    GoldMine.PrivateCategory.Enabled = True

  3. In Office 365 or Outlook, create a category labelled Private.

    From this point on, any email assigned to the Private category is synced as a Private email in GoldMine — not as a Public email.

    Note: If you would like to use a label other than Private, apply this advanced option to the Exchange sync policy: GoldMine.PrivateCategoryName = "label name"

    Ensure that the label name entered in the advanced option is the same as the one created in Office 365 or Outlook.
